Introduction
Barnsheets and paperwork cause the most variation in time spent per herd. It is up to the technician to educate the breeder and oversee completion of paperwork. The number one rule to remember is to “complete as much paperwork as possible beforeyou start scanning.”
 
Steps for a Scan Session
1)      Schedule scan session allowing a reasonable time for processing
2)      Fill out Name, Address,  Phone Number, Fax, and Email of the contact person before scanning
3)      Scan by tattoo- (test tag ok for bull tests)-  breed associations always require the tattoo
4)      Identify and correct any ID problems/Duplicates ID’s
5)      Fill out barnsheets including weights and contemporary group information
6)      Images and paperwork should be sent to the CUP Lab™ via FTP or courier/USPS.
7)      It is much appreciated when weights are emailed to Cuplab@cuplab.com
8)      Guaranteed turnaround time begins when all images/CORF/barnsheets, and payment are received
 
 
Required Paperwork
Each scan session must be submitted complete with paperwork and images. 
1)      Images must be labeled with the corresponding paperwork
2)      Complete CORF & barnsheets must be submitted at the same time. The barnsheets must have the scan weight as well as the management information. Add on cattle must have registration information or a note which indicates they should be processed as commercial data.
3)      Payment must be included in the shipment of images. Payment schedule as follows:
 
Purebred cattle reported to an association= $4/head
Adjusted commercial cattle= $4/head
Actual data only= $2.50/head
Research data= $2.50
 
 
Central Tests
 
The central test or bull test manager must request central test barnsheets from a breed association by providing each association with the member code and registration number of the cattle to be scanned.   A few items to remember when scanning a bull test:
1.)    Scan by test tag to avoid duplicate ID’s.
2.)    An electronic file template is available on our website at the following link: http://www.cuplab.com/download_forms/Electronic_Weights_Form.xls and should be completed and emailed by the bull test manager or technician to the CUP Lab™. For bull tests with different breeds be sure to check the breed requirements sheet necessary to complete processing.
 
 
**Things to Remember**
Complete as much paperwork as possible before you start scanning!!
ü    Legible handwriting is critical
ü    Scan by tattoo (test tag for bull tests ok)
ü    Contact Name, Address, Phone Number, Fax, and Email
ü    Scanning Technician name
ü    Two scanning technicians=two contemporary groups
ü    Do not combine two scan sessions in one folder
ü    The CUP Lab™ will work with you and your breeder to get the data processed promptly
